Subject:Â Upcoming Update: Simplifying and Strengthening EPO Management
Overview
We’re rolling out an update to how Extra Purchase Orders (EPOs) are handled in MyPaintBuckets.
This change is focused on one thing: helping you capture more revenue with less effort while improving how EPOs are documented, structured, and managed within your workflow.
What’s Changing
An EPO Service Fee will be applied to certain EPOs managed through the MyPaintBuckets platform.
The fee is defined as:
The greater of:
• 2.5% of the approved EPO value
• $5 per approved EPO
The fee applies only to EPOs that are:
• Documented within MyPaintBuckets
• Marked as “approved” within the platform by a user or party designated with approval authority for that project
Why This Exists
EPOs are one of the most common areas where revenue is lost due to:
Incomplete documentation
Misalignment with builder requirements
Approval delays
Inconsistent tracking and follow-up
MyPaintBuckets is designed to improve how EPOs are handled by:
Structuring EPOs consistently from the start
Capturing supporting documentation such as notes and photos
Providing a centralized record of scope and communication
Creating a clearer, more organized workflow for submission and tracking
This fee is directly tied to the use of those capabilities within the platform.
Simple Example
EPO Total: $200
2.5% Fee: $5
Minimum Fee Applies: $5
Total Fee: $5
How Billing Works
• Fees are calculated based on approved EPOs within the platform
• Fees are aggregated and billed monthly
• Charges are processed automatically using the payment method on file
• Monthly statements are provided and include itemized EPO-level detail
By continuing to use MyPaintBuckets after the effective date, you agree to the application of EPO Service Fees as described above. These fees are also governed by MyPaintBuckets’ Terms of Service and any applicable service agreements.
Important Notes
MyPaintBuckets provides tools to improve documentation, organization, and workflow efficiency related to EPOs. MyPaintBuckets does not guarantee payment of any EPO.
If an EPO is later voided, rejected, credited, or materially reduced, a corresponding adjustment may be applied in a future billing cycle.
Any billing questions or disputes must be submitted within a reasonable period following statement issuance, as defined in our Terms of Service.
